This service is available to Medicine Hat College faculty, staff, students and Community Borrowers.

Interlibrary Loan (ILL) is a service which allows the college library to obtain books or journal articles that the Medicine Hat College Library does not own. We work with libraries across the country to share materials that our patrons need.

What is Interlibrary Loan (ILL)?

Interlibrary Loan is a service which allows the college library to obtain books or journal articles that the Medicine Hat College Library does not own. We work with libraries across the country to share materials that our patrons need.

 
 
 

Who may use the Interlibrary Loan Service?

Our Interlibrary Loan service is extended to all college library patrons (students, staff, faculty, community borrowers). Those patrons wishing to use this service must first complete the online registration form at:

What kinds of materials may not be available?

The following materials are not normally available on Interlibrary Loan from other libraries/institutions:

    • Materials owned by the Medicine Hat College Libraries (Note: missing or overdue items may be requested through ILL)
    • Rare or valuable materials
    • Reference or reserve materials
    • High demand items, such as current best sellers
    • Entire issues of journals
    • Audiovisual materials
    • Computer software

 
 
 

How long does it take to obtain an item?

Requests will filled, on average, within seven to ten working days. Although materials obtained from outside Alberta may take ten to fourteen working days, or longer

 
 
 

How much does it cost?

Any costs associated are the responsibility of the requestor and are due at the time the material is picked up.

Costs for books:

  • Faculty/Staff/Students - no charge
  • Community Borrowers - The Library will pay up to and including the first five dollars ($5.00) associated with an item. The remaining costs are the responsibility of the patron.
    (NOTE: Staff will advise you of any costs you will be responsible for prior to placing the request on your behalf. At that time you will have the option of proceeding with your request or not).

Costs for journal articles:

  • Faculty/Staff - no charge
  • Students - no charge
  • Community Borrowers - $0.25/page

 
 

How am I notified when my materials arrive?

An email notification will be generated by the ILL system to let you know that your materials are ready to be picked up.

Please note that a valid email address must be provided when you complete the self-registration form.

Materials may be picked up at the Circulation Desk at any time that the library is open. Hours of operation vary throughout the year. To view the library's hours of operation, click here.

Journal articles for faculty and staff are placed in the internal campus mail system for delivery.

 
 
 

If I find I no longer need an item, how do I cancel my Interlibrary Loan request?

You may cancel a request at any time by logging in to your ILL patron record (http://relaisill.com/ammc/loginp.jsp) and selecting the "List Open Requests" button and click "Submit". Once you are logged into the system, click on the link to the corresponding request you wish to cancel to open the "Request Status" screen. From there, click on the "Cancel Request" button at the bottom of the screen.

 
 
 

How long may materials be borrowed? Can I renew an item?

The lending library sets the loan period and any restrictions on the use of the borrowed materials. The due date is indicated on the laminated wrapper covering the front of the material.

Requests for renewal are not permitted.

 
 

How do I place an Interlibrary Loan request?

Before requesting any item through Interlibrary Loan, please check the libraries' online public access catalogue (OPAC) to search the Medicine Hat College Libraries' collection.

If the desired item is owned by Medicine Hat College Libraries but is signed out to another patron, you may place a recall or hold at the Circulation Desk.

Why do I need to put a "Cancel if not filled by" date on the ILL request form?

ILL staff use this date to determine the feasibility of obtaining the item by the date required.

 
 
 

How do I check the status of my interlibrary loan requests?

From the patron login screen, select the "List Open Requests" button and click "Submit". Once you are logged into the system, click on the link to the corresponding request you wish to view to open the "Request Status" screen.

 
 
 

What if I forget my password to login to the Interlibrary Loan system?

From the patron login screen, click on the link provided for the recovery of passwords and follow the instructions onscreen.

Your password will be sent to the email address you indicated during your initial ILL system registration.
